UK invoice template

Start with a clean, professional layout that covers the fields UK businesses normally need. Use the online generator, or download the Word/Excel/PDF versions below.

What to include in a UK invoice

  • A unique, sequential invoice number
  • The date the invoice was issued and the time of supply
  • Your business name, address and VAT registration number (if VAT registered)
  • The customer's name and address
  • A clear description of the goods or services
  • The quantity or extent of the supply
  • The unit price, the VAT rate and the amount before VAT
  • The total amount before VAT, the total VAT and the total including VAT
  • Any cash discount rate offered

If you are not VAT registered, omit the VAT number and VAT amounts. Keep your invoice numbering consistent and retain copies for your records.

Online vs spreadsheet vs Word

An online generator is fastest for one-off invoices and avoids formatting mistakes. A spreadsheet is useful if you invoice the same customers regularly and want to keep a list. A Word template is familiar but easier to break when text wraps.

For repeat invoices, keep sequential numbers, store a copy as PDF, and back up your records. HMRC expects VAT records to be kept for at least 6 years.

Frequently asked questions

Can I edit the downloadable template?

Yes. The Word and Excel templates are editable. Replace the sample details, keep the layout, and export to PDF before sending.

Do I need a different template for a limited company?

The same layout works. Add the company's registered name and company number where relevant, and use the VAT number only if the company is VAT registered.
