Free Word invoice template (UK)
Word is familiar, but invoice templates break easily when text wraps or fields are missing. This free UK Word template covers the fields HMRC expects for a full VAT invoice, and you can edit it in Microsoft Word, Google Docs or LibreOffice.
What's included in the Word template
- A fully editable .docx file with a clean A4 layout
- Your business name, address, email and optional VAT number
- Customer name and billing address
- Unique invoice number, invoice date and time of supply
- Line items with description, quantity, unit price, VAT rate and amount
- Subtotal, VAT breakdown and total including VAT
- Payment terms, due date and optional notes
How to fill in the Word invoice
- Open the .docx in Word, Google Docs or LibreOffice and save a copy with your business name.
- Replace the sample business details, including your address and VAT number if you are VAT registered.
- Enter a unique invoice number, the invoice date and the time of supply (the date the work was done or the goods were provided).
- Add each line item: what you supplied, quantity, unit price and the correct VAT rate (20%, 5% or 0%).
- Check the subtotal, VAT and total. If you are not VAT registered, remove the VAT number and VAT lines.
- Add payment terms and a due date, then export to PDF before sending so the layout cannot change.
Word template vs online invoice generator
A Word template is useful when you want full control over branding, or when you need to work offline. The downside is that totals, VAT and line breaks are manual: one wrong cell or a long description can push the table onto a second page.
An online generator is faster for repeat invoices and calculates the totals for you. Use the Word file when you need a specific layout, and use the browser generator when speed and accuracy matter. Both produce a PDF you can send to a client.
UK invoice fields to keep
- A unique, sequential invoice number
- The invoice date and the time of supply
- Your business name, address and VAT registration number (if registered)
- The customer's name and address
- A clear description of the goods or services
- The quantity, unit price and amount before VAT
- The VAT rate and VAT amount for each line
- The total before VAT, the total VAT and the total including VAT
- Any cash discount terms
If you are not VAT registered, do not charge VAT or show a VAT number. Keep your invoice numbering consistent and retain copies for your records.
Common Word invoice mistakes
- Sending the editable .docx instead of a PDF — the layout can change on the client's device
- Reusing or skipping invoice numbers
- Forgetting the time of supply on longer projects
- Typing totals by hand and creating rounding errors
- Leaving the sample business name or address in the file
- Missing payment terms, so the customer does not know when payment is due
